Our Sydney Office has an immediate need for a motivated, energetic, self-starting Office Administrator/ Executive Assistant to join our team. Position Summary
The Office Administrator/ Executive Assistant will be a lively team player with a positive attitude and the ability to bring a flexible and mature approach to the role whilst being fun to work with! Reporting directly to the General Manager, the successful hire will take personal responsibility to ensure the smooth and efficient running of the office as well as providing HR and IT support. The successful Office Administrator/ Executive Assistant will be an effective communicator and problem solver, possess great interpersonal skills, an exceptional eye for detail, sound analytical judgment and the ability to prioritize and multi-task. The duties of this position will vary daily, providing an interesting and challenging role for the right person.
Qualifications
•2-4 years of office management/ administrative experience
•General human resource management experience preferred
•Experience working in a service industry a plus
•Sound knowledge of online and web-based communications
•Adequate knowledge of computer set up and troubleshooting
•Ability to manage programs and coordinate/administer office events, including: new hire orientation, training and professional development, intern program, office recruiting, office moves, and benefits and policy administration
•Experience managing facilities and security, ensuring cost effective purchasing and leasing of equipment and office supplies
•Ability to assess and respond to changing office needs
•Strong writing skills with the ability to develop and edit high quality written materials and presentations
•Exceptional time management skills and ability to meet deadlines
•Ability to manage office finances, including completing expense reports, assisting with budget planning and performing basic accounting procedures
•Ability to oversee and resolve repair issues with office equipment and maintain strong relationships with external vendors, IT support, and outside service providers
•Strong administrative skills, including ability to provide phone support, coordinate travel arrangements, file, collect and distribute mail, provide IT support, complete new hire paperwork, and maintain personnel records
•Skilled at providing high-level back-up administrative support to Managing Director & General Manager as needed
•Proficiency with Microsoft Outlook and Microsoft Suite (Word, Excel, Access, and Power Point)
